Al-Hayat approached Cryotos to improve their process in equipment and facility maintenance for more than 100+ customers include

Implementation Process

  • Initial Assessment: The Cryotos team conducted a thorough assessment of Alhayat's maintenance operations, understanding the specific requirements of maintaining various  facilities and equipment.
  • Customization: Based on the assessment, Cryotos customized the workflows to cater to the     distinct needs of maintaining facilities like pools, Jacuzzis, gym equipment, and other specialized assets.
  • Training: Comprehensive training sessions were conducted for Alhayat's staff, ensuring they  were well-versed with the software's functionalities.
  • Deployment: The software was deployed across all facilities, with continuous support from Cryotos to ensure a smooth transition.

Challenges and Solutions

Challenge 1: Diverse Maintenance Needs

Solution: Cryotos was able to handle different maintenance needs for various facilities andequipment. Custom modules were made for specific assets like pools, Jacuzzis, and gym equipment, ensuring all maintenance tasks were covered.

For example, Alhayat runs preventive maintenance jobs specialized in water treatment for over 18 locations, these tasks are complicated and requires logging different water metrics such as pH, chlorine levels, alkalinity, temperature, salinity and other metrics, before and after treating water with chemicals, and for every water equipment in customers’ locations, such as pools, hot jacuzzi, cold jacuzzi, and other equipment.

The custom forms and workflows that Cryotos offers, helped in managing this complicated requirement, by logging each metric in a specific question and for each location, giving the ability to Alhayat team to retrieve this data whenever necessary for audit and analysis purposes, and to assure customers that they’re getting the best service possible and that they’re equipment is always maintained as expected.

Alhayat also manages over 2,000 assets of fitness equipment, such as cardio, strength, Pilates and various other fitness equipment, in over 150 locations, and are planning to onboard all these assets to the Cryotos and print out QR codes and affix them to each machine, so customers can easily request maintenance or provide feedback on these assets, to help Alhayat team not only manage their condition and provide service when needed, but also knows their clients feedback over each single type of machine offered to customers.

Challenge 2: Getting Users to Use the Software

Solution: We designed a user-friendly interface and provided thorough training sessions. This helped even those with limited technical skills to easily navigate and use the software.

Challenge 3: Handling Maintenance Requests Quickly

Solution: Cryotos allowed customers to create their own maintenance requests, which Alhayat's team reviewed and addressed quickly. This made the process more efficient and reduced response time, the printable QR code that Cryotos allows for each location and asset helps in quickly communicating customers issues and assigning them to locations or/and assets, so Alhayat maintenance team knows exactly what machine is down and, in which location, allowing the team to quickly respond and address the issue.

During the initial implementation phase, Blue maintenance team printed 18 QR codes for 18 locations and installed them in clients’ pump rooms, attached the design for that:

Using these QR codes, clients were able to communicate their maintenance requests quickly to the maintenance team, and ditch the old procedure of emailing and what sapping issues once they happen, Cryotos also keeps reference of when the ticket is created, when it was approved and converted into a work order, and when it’s fulfilled and closed, keeping customers informed about the level of service their getting, against the SLA in their agreement.

  • Cryotos has different users privileges and roles, allowing each user to preform the role they occupy, where technicians can only see work orders and scheduled work orders assigned to them to fulfil them, maintenance supervisor can track and monitor work orders and technicians performance, as well as accept customers’ maintenance requests and convert them into work orders and assign them to technicians, and maintenance manager can see dashboards, reporting, assets, spare parts, and all other functions in the system.
